TERMS & CONDITIONS
Last updated: 30 October 2026
These Terms apply to all bookings of optional activities offered to guests of the Builders Club programme in Madrid on 28 April 2027, made through the booking form at spheritage.com that you access from this website. By submitting the booking form, you confirm that you have read and accepted them.
1. Organiser
This website and the sale of the activities offered through it are operated by SHE EVENTS AND OTHERS S.L. (“Spanish Heritage”, “we”, “us”), tax ID (CIF) B84676659, with registered address at C/ Estrecho de Mesina 13, 28043 Madrid, Spain, registered in the Mercantile Registry of Madrid, Volume 22,630, Folio 85, Section 8, Sheet M-404677, 1st entry.
Contact: bcnorth@spheritage.com · +34 933 221 050
The activities are delivered by selected local suppliers (guides, transport companies, restaurants, museums, venues and activity operators) contracted by Spanish Heritage.
2. Activities
Each activity page describes the schedule, duration, what is included, the minimum number of participants, the price and the accessibility level. Anything not listed under “What’s included” is not included in the price. All activities take place on 28 April 2027, start and finish at The Palace, a Luxury Collection Hotel, Madrid, unless otherwise stated, and are led in English.
3. How to book
Bookings are made by completing the booking form at spheritage.com, which you can access from this website. As all activities take place at the same time on 28 April 2027, each booking includes one activity; the number of participants is the same for the whole booking. When you submit the form, you are taken to our secure payment page and we also email you a summary of your booking with the same payment link. Your booking is confirmed only when payment has been received, and you will then receive a confirmation email with your confirmation number. Until payment is received, places are not held. The payment link remains active until bookings close on 13 April 2027; any booking request not paid by that date will be cancelled. Bookings close on 13 April 2027, or earlier if an activity is sold out.
If you book for other people, you confirm that you are authorised to do so and that you have shared these Terms & Conditions with them.
4. Prices and payment
Prices are shown per person in euros (€) and include VAT.
A booking fee of 2.25%, which covers secure online payment processing through our payment provider Flywire, is added to the price at checkout. The total amount, including this fee, is shown before you confirm your payment.
Payment is made on the secure payment page of Flywire, our payment provider, which opens when you submit the booking form and is also available through the link we email you. We do not receive or store your card details.
If you need an invoice, you can request it in the booking form by ticking the invoice box and entering your billing details, or later by email to bcnorth@spheritage.com.
5. Minimum number of participants
Each activity only runs if the minimum number of participants shown on its page is reached (15 participants for most activities, 12 for the Vintage Car Tour and 20 for the Tuk-Tuk Tour).
On 13 April 2027, when bookings close, we will check the number of participants for every activity. Only paid bookings count towards the minimum. If an activity has not reached its minimum, we will contact the participants booked on it to offer them either a change to another activity (subject to availability) or a full refund of the total amount paid, including the booking fee. Refunds are made to the original payment method and usually take 3 to 4 business days from the date we process them.
6. Cancellations and refunds
Cancellation by the participant until 13 April 2027: you may cancel your booking by emailing bcnorth@spheritage.com no later than 13 April 2027. You will receive a refund of 50% of the total amount paid, including the booking fee.
Cancellation after 13 April 2027: bookings are non-refundable.
Cancellation for reasons not attributable to the participant: if an activity does not reach the minimum number of participants (see section 5) or is cancelled for any other reason beyond the participant’s control, we will contact you to offer a change to another activity (subject to availability) or a full refund.
Refunds are made to the original payment method and usually take 3 to 4 business days from the date we process them.
As these are leisure services provided on a specific date, the statutory right of withdrawal does not apply, in accordance with Article 103(l) of the Spanish Consumer Protection Law (Royal Legislative Decree 1/2007). The cancellation conditions above are offered in addition to your legal rights.
7. Changes and transfers
All requests after booking (such as changing activity, changing the number of participants or transferring a booking to another person) must be sent by email to bcnorth@spheritage.com. Each request will be assessed individually, depending on availability and on how close it is to the activity date. We may decline requests that cannot be met or are received too late. Changes are only valid once we have confirmed them in writing.
8. No-shows and late arrivals
Participants who do not show up for their activity will not be refunded under any circumstances.
Please arrive at the meeting point at least 10 minutes before the start time. If you arrive late, our staff will always try to help you join the group; whether this is possible will depend on how late you are and where the activity is taking place at that moment. Late arrivals or missing part of an activity do not give the right to a refund.
9. Changes to the activities
Schedules, routes, the order of visits and the selection of rooms, works or venues may change on the day due to traffic, weather, opening hours, official events, closures or other operational reasons. In these cases, we will adapt the activity as closely as possible to its description.
If an activity cannot take place for reasons beyond our control (force majeure), such as extreme weather, strikes, official closures or public safety measures, we will contact you to offer a change to another activity (subject to availability) or a full refund of the amount paid for that activity.
10. Participant responsibilities
Participants agree to:
Be at the meeting point on time and follow the instructions of guides and staff.
Tell us about any accessibility needs, allergies or dietary requirements when booking, so we can try to adapt the activity.
Make sure they are physically able to take part in the activity they book. In particular, the Retiro Park Bike Tour requires participants to be comfortable cycling for about 90 minutes and to wear the helmet provided.
Respect the rules of the museums, venues and vehicles visited.
We may exclude from an activity, without refund, any participant whose behaviour endangers their own safety or that of others, or seriously disrupts the activity.
11. Accessibility
Each activity shows an accessibility level (A, B or C). This information is given in good faith, based on information from our suppliers and venues, and may change. If you have reduced mobility or specific needs, please tell us when booking so we can check what is possible. Activities graded C are not suitable for wheelchair users or guests with reduced mobility.
12. Allergies and dietary requirements
For activities that include food, we will pass on any allergies or dietary requirements you give us to the restaurants and suppliers involved. However, we cannot guarantee that food is completely free of allergens or traces.
13. Liability and insurance
Our suppliers are responsible for the services they provide and hold the insurance required for their activities. Participants are responsible for their personal belongings during the activities.
Spanish Heritage is not liable for damages caused by the participant’s own actions, by failure to follow staff instructions, or by events beyond our control. Nothing in these Terms & Conditions limits any rights that participants have under applicable consumer protection law.
14. Personal data
We process your personal data in accordance with our Privacy Policy.
15. Complaints
If you have a complaint about your booking or an activity, please contact us at bcnorth@spheritage.com. We reply to all enquiries and complaints within 24 hours. During the event, our team is on hand to support you at all times, and urgent requests are answered within 3 hours.
16. Applicable law and jurisdiction
These Terms & Conditions are governed by Spanish law. Any dispute will be submitted to the competent courts in accordance with applicable law. If you are a consumer, you may bring a claim before the courts of your place of residence where the law allows it.

Our service providers act as data processors under a contract that requires them to protect your data and use it only on our instructions, except where they act as independent controllers (for example, Flywire for payment processing).
5. International transfers
Some of our providers, such as Squarespace and Flywire, may process data outside the European Economic Area, including in the United States. [Builders Club may also be based outside the European Economic Area — to confirm.] When this happens, we make sure the transfer is protected by appropriate safeguards, such as an adequacy decision of the European Commission (including the EU–US Data Privacy Framework, where the provider is certified) or the European Commission’s Standard Contractual Clauses. You can ask us for more information at bcnorth@spheritage.com.
6. How long we keep your data
We keep your personal data for 3 months after the event (28 April 2027) and then delete it.
The only exception is data we are legally required to keep, such as invoices and payment records. This data is blocked and kept only for the periods required by Spanish tax and commercial law, after which it is deleted. Accessibility and dietary information is never kept beyond the 3-month period.
7. Your rights
You have the right to:
Access your personal data.
Rectify inaccurate or incomplete data.
Erase your data when it is no longer needed.
Restrict the processing of your data in certain cases.
Object to processing based on our legitimate interest.
Data portability, to receive your data in a structured format.
Withdraw your consent at any time, without affecting processing carried out before you withdrew it.
To exercise your rights, email bcnorth@spheritage.com, stating which right you wish to exercise. We may ask you to prove your identity. We will reply within one month.
If you are not satisfied with our reply, you can file a complaint with the Spanish Data Protection Agency (Agencia Española de Protección de Datos, www.aepd.es) or with the data protection authority of your country of residence.
8. Is providing your data mandatory?
The fields marked as required in the booking form are needed to process your booking; without them we cannot confirm it. Accessibility and dietary information is optional, but if you do not give it to us we may not be able to adapt the activity to your needs.
9. Accuracy of your data
You are responsible for the data you provide being accurate and up to date. Please tell us about any change at bcnorth@spheritage.com.

We apply appropriate technical and organisational measures to protect your personal data against loss, misuse, unauthorised access, alteration or disclosure. Access to your data is limited to the staff and suppliers who need it to organise your activity.
